Why “per square foot” can be confusing

Ask what is being measured. For individual letters, a vendor may calculate the overall bounding rectangle, the face area of each letter or another production measure. A backdrop may be measured differently from the letters mounted on it.

For example, a logo occupying a 12 ft × 3 ft zone does not necessarily mean there are 36 sq ft of fabricated letter face. The quote should state:

  • the measurement method;
  • letter height, depth and quantity;
  • face, return and backing materials;
  • illumination and power-supply specification;
  • finish and colour process;
  • mounting method; and
  • what installation work is included.

If two vendors use different measurement bases, comparing only the rate is meaningless.

The eight main signage cost drivers

1. Sign type

Printed graphics, flat panels, fabricated letters, lightboxes, pylons and digital displays use different production methods and structures. A sign that appears simple from the front may contain frames, returns, transformers, ventilation and access panels behind it.

2. Material and grade

Acrylic thickness, metal grade, coating system, vinyl series, LED module quality and power supplies affect durability and finish. Ask for named specifications rather than “premium material.”

3. Illumination

Non-illuminated, front-lit, backlit and edge-lit signs have different electrical and fabrication requirements. Uniform lighting, heat management and maintainable access require engineering, not just more LEDs.

4. Size and repetition

Very small one-off signs carry setup and hand-finishing costs. Repeated sign families may become more efficient after drawings, jigs, colour matching and prototypes are approved.

5. Height and access

Installation from the ground is different from installation on a high facade. Scaffolding, boom lifts, traffic control, night work, permits and safety supervision can exceed the fabrication cost of a small sign.

6. Structure and civil work

Pylons and large building signs may require foundations, steel frames, waterproofing and structural design. These should appear explicitly in the scope.

7. Logistics and city

Packing, freight, accommodation, local access and return visits affect multi-city delivery. A rollout quote should define what is centralised and what is sourced locally.

8. Design, survey and approvals

A production-only price may exclude site measurement, sign location planning, wayfinding strategy, artwork adaptation, authority submissions and landlord approvals. These are real tasks even when they are not visible in the finished sign.

How can you control cost without making the space look cheap?

  1. Plan first. Use a sign location plan to remove redundant signs before fabrication.
  2. Spend at high-value moments. Prioritise arrival, reception and major decision points.
  3. Standardise the family. Reuse panel sizes, frames, fixings and update mechanisms.
  4. Separate fixed and changeable content. Do not remake an entire sign when one tenant name changes.
  5. Prototype once. Approve the difficult sign before producing fifty of it.
  6. Coordinate early. Provide power, backing and access during the fit-out rather than reopening finished walls.
  7. Specify for the environment. An inexpensive indoor material used outside is expensive when it fails early.

Allow for more than sign fabrication:

  • site survey and measurement;
  • wayfinding and graphic design;
  • engineering and production drawings;
  • mock-ups and samples;
  • fabrication and finishes;
  • electrical components and cabling;
  • structural or civil works;

  • freight, packing and storage;
